Tom's Heating & Air Conditioning ("we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect through our website at tomsheatandair.com and in the course of providing residential and light-commercial heating, cooling, indoor air quality, and related HVAC services across Van Buren, Fort Smith, and the Arkansas River Valley in Arkansas (and bordering Oklahoma communities we serve), how we use and share that information, and the choices and rights you have. Information We Collect

Information you provide: name, phone number, email, service address, and details of your service request when you contact us, request a quote, schedule service, join a maintenance plan, apply for a job, or inquire about financing.
Communications: the content of calls, texts, emails, and form messages. Phone calls to or from us may be recorded or monitored for quality, training, and scheduling purposes where permitted by law.
Automatic / technical data: IP address, device and browser type, pages viewed, referring URLs, and similar analytics data collected via cookies and similar technologies when you allow analytics/advertising storage.
Tools actually in use on this site: Google Tag Manager (container GTM-WTZNS3X) which may load Google Analytics 4 and advertising tags according to your consent choices; Google reCAPTCHA on lead and application forms (spam protection); and Payzer's hosted payment portal for invoice payments (card data is entered on Payzer, not on our pages). We do not operate an on-site chatbot at this time.

Cookies, Analytics & Consent Mode

We use necessary cookies to make the site work. Analytics and advertising cookies (loaded through Google Tag Manager) are controlled by Google Consent Mode v2. Visitors in the EEA, UK, and Switzerland start with analytics and ads storage denied until they accept; visitors elsewhere (including the United States) start with those signals allowed under a US-style opt-out model and can decline at any time via our cookie banner or by choosing "Cookie preferences" in the footer. Payment Security

Online invoice payments are processed on Payzer's hosted checkout (or another processor's hosted page/redirect we link to). We do not collect, store, or process raw payment card numbers on tomsheatandair.com pages. Card data is handled by the payment processor under their PCI DSS responsibilities. Prefer cash, check, or financing? Ask when your technician is on site or call the office.

Data Retention

We retain personal information for as long as needed to provide services, maintain business and tax records, resolve disputes, and comply with legal obligations, after which we delete or de-identify it. Retention periods vary by record type (for example, service and invoice records are typically kept longer than one-off marketing inquiries).

Children's Privacy (COPPA)

Our website and services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data.
